Submission of approved technology plans:

The county office and your plan:
Your county office will set the timeline for submission of district technology plans so that they may be reviewed and approved.

Submitting your plan to the state:
Once your district technology plan is approved by the county office and a letter of approval is issued, the plan and approval letter both need to be submitted electronically in PDF format by the district to the state prior to June 30, 2007.

Files to submit:
Please submit two PDF files; one is the signed letter of approval issued from the county office and the other is your approved district technology plan.
 
Names for these files:
Prior to submitting your plan electronically, you will want to know your district’s county and district code.  If you do not know these codes, go to the following web site: http://www.state.nj.us/njded/directory/dl_districts.shtml and download the district excel spreadsheet.  Find your school name in the list. The county code for your school is in column A and the district’s four digit code is in column C.

There are specific file names required for each of the two files.  First, the district plan’s approval letter from the county office must follow this template. It will start with six numbers; the first two numbers are your county code numbers, the next four are your district’s code numbers followed by an underscore, your district name, followed by an underscore and then the letter A (for approval letter).

Your plan’s name will be the same except the A will become the letter P (plan).

Example:
If you were sending a plan from East Brunswick Township, the county code for Middlesex is 23 and the district code is 1170 so the file name of the approval letter for this school district would be 231170_EastBrunswickTwp_A.pdf

The name of the file for their plan would be 231170_EastBrunswickTwp_P.pdf

Format to submit files:
These documents will only be accepted electronically in PDF format.  If the electronic submissions are not in PDF format, they will not be considered submitted.

Listed below are online sites that will convert documents into PDF files if you do not have a program similar to Adobe that will do this in your district.

Most newer Macintosh systems have the ability to “print to” a pdf format.

E-mail the files to:
Send your plan as a ZIP file (or SIT file if Mac) and E-mail these two PDF documents (the plan and the approval letter) to edtech@doe.state.nj.us

Board Approval
A letter of Board Approval will also need to be enclosed and timing needs to be considered for this.  A copy of this board approval of the district’s technology plan is a necessary part of your plan document.

Superintendent’s sign off
The district’s superintendent signs the plan indicating his/her approval of it and its budgetary requirements.

Posting your plan:
If at all possible we suggest posting the approved technology plan on your web site.
