RETENTION OF MEDICAL RECORDS

 

PURPOSE:

Medical records shall be maintained and available for future referral upon the discharge, death, or transfer of a veteran home resident from a NJ Veterans Memorial Home Facility for the duration required by N.J.S.A. 26:8-5.

PROCEDURE:

A. All resident registers, records, and files no longer of use to the facilities should be turned over to the Department's Records and Archives Bureau for final disposition.

B. All resident files (including resident registers and records) will be microfilmed in two copies. One copy will be placed in the departments vault, the second will be turned over to the State's Archives. Normally, paper copies are then destroyed. However, in the case of 1800's records and resident registers, the State Archives and Museum will store and catalog them.

C. Once the State Archives obtains the records, they will work with other agencies desiring access to them for research subject to the Privacy Act.

D. All Chief Executive Officers and office managers shall be advised to contact the Records and Archives Bureau with regard to establishing a turn-in schedule.
