The eRFP Notification Service allows interested parties to receive email notifications
on new and updated RFPs advertised by the Division of Purchase & Property.
This service will:
Allow you greater flexibility in selecting RFP notifications
Provide e-mail notifications pertaining to advertised
RFPs and addenda issued
Send email reminders of bid opening dates
Replace the current traditional Bidders Mailing List
The eRFP Email Notification Service does not guarantee
that your firm will be notified of all applicable bidding
opportunities. To ensure you are aware of Advertised Bid
Opportunities, potential bidders are encouraged to frequent
the Current
Bidding Opportunities for upcoming bidding opportunities
and to obtain/download specific Request for Proposals.
What is the difference
between the eRFP Notification Service and eBid?
The eRFP Notification Service is an easy way of receiving email notifications
of RFPs being advertised. Notifications are sent to the email address
that is used at the time of enrollment.
eBid is a future application that has been successfully piloted
and is undergoing further development by the Division of Purchase
and Property to move the bidding process to a web based method.
A company would be able to submit bid proposals electronically
in response to posted RFPs, as well as providing RFP notifications
to multiple users/email addresses if desired.
eRFP Notification Service is a module under eBid function and as more
modules are made functioning it will be incorporated into the eBid user
interface.
Question#2:
What features does the eRFP Notification
Service provide?
The eRFP Notification service features:
Email notifications pertaining to advertised RFPs
Email notifications of addenda issued
Email reminders of bid opening dates
Ability to manage your commodity codes that reflect your
business; (Notifications are sent only on commodities
you have selected)
You can access these links also from the Division of Purchase and Property
website(http://www.state.nj.us/treasury/purchase/)
and using the menu located on the top of our
web site pages. Select Vendor Information--> eRFP Notification Service.
Scroll to the bottom of the page and enter the email address you wish to
receive RFP notifications to and your password (Note: Your password
must be 6 to 10 characters and contain 1 numeric value.)
After you enroll you will be logged in automatically to the eRFP Notification
Service.
You will receive a confirmation email upon successfully enrolling.
You can access these links also from the Division of Purchase and Property
website(http://www.state.nj.us/treasury/purchase/)
and using the menu located on the top of our
web site pages. Select Vendor Information--> eRFP
Notification Service.
Enter your email address and password in the boxes provided and click on
the Login button. You will be brought to the main page of the eRFP Notification
Service.
Question#5:
How do I change my password?
To change your password you must be logged into the eRFP Notification Service.
For instructions on how to log in see Question #4 above.
After logging into the eRFP Notification Service using your email address
and password, click on the Quick Link menu item on the left labeled "Change
Password"
After clicking the "Change Password" Click link you will be brought
to a page where you can enter your new password. Please enter your new
password in the boxes labeled "New Password" and "Confirm
Password"
Click on the Submit button to change your password. You will receive a
confirmation email.
Question#6:
What do I do if I forget my password?
If you forget your password you may obtain a new one by clicking on the
Forgot Password link located
below the login box. Instructions on logging in to the eRFP Notification
Service can be found in Question #4. You can also reset your password
by typing the following web address in the address bar of your browser: http://ebid.nj.gov/NotificationLostPass.aspx
After clicking the Forgot Password link you will be brought to a page
asking for your email. Enter your email address that you created your
account with and click the submit button. You will be sent an email with
a new password to login with. After logging in we recommend you change
your password using the "Quick Link" on the left.
Question#7:
How do I find and select commodity
codes of RFPs I wish to be notified on?
Searching for Commodity Codes
To select commodity codes of RFPs you wish to be notified on you must
be logged into the eRFP Notification Service (see Question #4 for login
instructions).
After logging in you have the ability to search for commodity codes.
To search for a commodity by key word (any word contained in the commodity
code description) click on the radio button labeled
NIGP Commodity Code by KeyWord. A text box will appear
. Enter the keyword you wish to search for in the box and click on the "Search" Button.
A list of commodities containing your keyword will appear in the box
at the bottom of the page.
Selecting Commodity Codes:
To select a commodity code to be notified on simply click on the box
to the left of that commodity. If you wish to receive notifications on
every commodity click the box
before the 3 digit major commodity code. If you wish to only receive
notifications on a commodity sub codes you must first expand the commodity
by clicking on the plus sign +. After you expand the commodity code you
will see the list of its sub codes. Follow the same procedure as above
and click the box
of each subcode you wish to be notified on.
After selecting your commodities be sure
to click the "Save My Selected Commodities" Button
located above or below the list of commodities.
Click the "Confirm" button that appears to return to commodity
code main screen and save your changes.
Question#8:
How do I view the commodity codes
I've selected?
To view the commodity codes you have selected and saved click on the "Get
My Saved Commodities" button located on the upper right of the eRFP
Notification Service page under the heading "View My Previously Saved
Commodities". After clicking the button a list of commodity codes
will appear on the bottom of your screen. (Please allow a few seconds
for your saved commodities to appear at the bottom of the page)
Question#9:
Why are some of my Commodity
Codes Green, Blue, or Red?
Color codes are used to quickly identify
how you have selected commodity codes. Commodity codes used
in the eRFP Notification Service have 5 digits. The first 3
digits of a commodity code are the major/parent commodity code
while the last 2 digits are the sub/minor commodity code.
The Parent Code can be highlighted Blue or Green:
BLUE = All the sub commodities have been Selected
with the Parent Commodity Code. You will be notified of all Commodities
under the Parent Commodity Code
GREEN = Individual Sub Commodities
Selected - you will be notified of only those sub commodities
that are checked and in red.
RED = Highlights the Sub Commodities
Selected under the Parent Commodity. You will be notified
of the commodities in red.
Question#10:
My business has changed, how do
I remove commodity codes from my eRFP Notification Service
account?
To remove commodity codes from your eRFP Notification Service Account,
Log in to the eRFP Email Notification Service (see question 4 above
for login instructions). You may move through each page of commodities
to look for the ones you have selected by clicking on the "Next >>" or "<< Previous" links
and looking for the commodities that have their boxes checked or
the commodity's title is colored red, blue, or green.
You may also search for your selected commodities
by using the search feature and entering a word from the
commodity or the commodity code.
Deselect the commodities you wish to remove
from your saved list by removing the check from the box
before the commodity code you wish to no longer receive notification
on.
After deselecting the commodities you wish to remove be sure to click
the "Save My Selected Commodities" button located above or
below the list of commodities.
You will receive an email from eRFP Notification Service acknowledging "You
have successfully updated the Commodity Codes that you want to be notified
of."
Question#11:
Can you choose a commodity code
for me?
No - Each Vendor is responsible for choosing their own commodity codes
they wish to receive RFP notifications on.
Question#12:
How do I view the Bidding Opportunities/RFPs
available?
To view the Bidding Opportunities/RFPs available you may click on the "Quick
Links" on the left labeled "Bid Opportunities" A list
of Bidding Opportunities will appear. Click on any solicitation number
to see the advertised solicitation. (We recommend you turn off
any pop-up blockers for the eRFP Notification Service site)
What is the "Q & A" link
under the "Quick Links" menu for?
The "Q & A" link located under the "Quick Links" menu
on the left is used to ask RFP specific questions. These are questions
pertaining to a solicitation's RFP. For technical questions regarding the
eRFP Notification Service please utilize the Contact Us link located under
the "Quick Links"

Is my information secure?
Yes - All information you provide is sent through a secure web session
and stored encrypted on servers behind numerous firewalls.

How do I get assistance with
technical issues not covered by the FAQ?
If you have any technical questions regarding the use of the eRFP Notification
Service please utilize the Contact Us link located under the "Quick
Links."
Question#16:
If we are on the old "Bidder's
Mailing List", are we automatically registered under
the same classes that we were before on the new eRFP Notification
Service?
No - You must enroll in the new eRFP Notification Service and select the
Commodity Codes you wish to receive email notifications on of RFPs
being advertised.
