CTE-DMS Panels and Navigation
The first page accessed after logging into CTE-DMS is the Home Page. To view and access Secondary CTE Programs, use the menu in the left margin to navigate to the Secondary page. Click on the Secondary page.
The Secondary page has three main panels:
- Applications
- Programs
- Versions
Depending on the number of programs associated with the district, it may be necessary to scroll down within the Programs Panel to view the full list.
Applications Panel
The Applications Panel is a list of all the open applications that have been initiated by the district. There are three main types of applications that a district can initiate and have housed in the Applications panel:
- New application — The application initiated to create a new program with a Classification of Instructional Programs (CIP) number that does not currently exist in the applying institution. When a new program of study application is created, a unique Program ID number is permanently assigned to program of study.
- Re-approve Application — The application for program of study reapproval. Programs of study require reapplication and approval every 5 years, unless otherwise directed by the NJDOE Office of Career Readiness.
- Delete Application —The digital form to delete a previously approved program or program of study from the DMS system that the institution no longer wishes to be eligible for Perkins funding.
A district may also encounter historic applications or applications with special statuses, such as Change applications, Bond Act, or Hold for Bond Act status. For questions about a special status application please contact the County Career Readiness Specialist for more information. An overview of common Application statuses can be found in the table below.
| Application Status | Meaning |
|---|---|
| In Development | One or more of the application sections have been saved by the school district. The application is open and editable by the district. |
| Ready for CSA Approval | All application sections have been finished by the school district’s authorized user. The application is still open and editable by the district, pending final approval by the chief school administrator (CSA). |
| Submitted | The chief school administrator has signed the statement of assurances and submitted the application. The application is fully submitted and waiting for review by the Office of Career Readiness (OCR). Once an application is submitted, the application is no longer editable by district representatives. |
| Review in Progress | An Office of Career Readiness (OCR) staff has initiated and is in progress of the application review. This can include saved and/or finished sections. |
| Remediation Required | An OCR staff has marked one or more sections of the application requiring remediation. Notes regarding remediations are available in the Review History tab. At this status, the application is open to the district for editing and corrections. |
| Specialist Approved | Level 1 Approval — The OCR County Career Readiness Specialist has approved the application based on a preliminary check for compliance. The application is in review with OCR staff. Formerly, "Officer Approved" on past applications. |
| Cluster Approved | Level 2 Approval — The OCR Cluster Lead has approved the application based on a preliminary check for programmatic alignment, rigor and compliance. The application remains in review with OCR staff. |
| Approved | Level 3 Final Approval — The OCR CTE Director has provided final approval with a letter of approval. The district will be able to download, print and save the approval letter for their reference.The application is now moved from the Application Panel to the Program Panel. |
Programs Panel
The Programs Panel provides a list of the school district’s currently approved programs and information regarding those programs.
Program information includes:
- Program ID
- District ID
- Career Cluster ID
- Career Cluster Pathway
- Classification of Instructional Program (CIP) Code
- Program Name
- Program of Study
- Approval Date
- Other Actions
If a program is eligible to be reapproved or the window is open for deletions, a re-approve or delete button will appear in the Actions field.
Versions Panel
The Versions Panel is a historical list of programs and was initiated in November 2024. All upgrades and renewals created after November 2024 will generate new versions of the Program ID that will be memorialized in the Versions Panel.
Sorting and Searching
Users can sort select columns within a panel by clicking on the up ↑ and down ↓ arrows next to the column header.
Each panel includes a search bar that allows users to search for entries across all columns within that specific column. The search function supports standard query techniques, including the use of quotation marks for exact‑phrase searches and other common search operators, allowing users to quickly locate specific or related entries within the panel.
Viewing Program Information
Individual program information can be viewed in two ways. The first view is a summary of the individual program information.
- Navigate to the Home tab and locate the Programs Panel.
- Select the Program ID number to see the program details of that program.
To view the full program application, select the View button from the Actions column.
Adding and Deleting School Locations
To add school locations:
- Navigate to the Home tab and locate the Programs Panel.
- Select the Program ID number to see the program details of that program.
- At the bottom of the details page select Program Locations.
- Use the drop-down list to select the school where the program of study is operating.
- Select the Add button to add a school location.
- Repeat to add additional school locations where this program of study is operating.
- Select Save when finished.
To Delete Program Locations:
- Select the Delete button next to the location the district wants to delete.
- Select Save when finished.
