Pilot Program Considerations

The NJSLEDS pilot phases are designed to support the transition from NJ SMART by allowing districts to preview functionality, test data submissions, and provide feedback that informs system refinement.

This page outlines important reminders and expectations for pilot participants.


Purpose of the NJSLEDS Pilot

The NJSLEDS pilot is a testing environment intended to help participating districts:

  • Submit sample data to evaluate system workflows
  • Identify issues or questions with the submission process
  • Share feedback with the NJDOE to inform final system improvements

Please note: Pilot submissions are not official. Any data submitted during this phase should not be treated as final and should not be used to update district student information systems (SIS), other source systems, or NJ SMART.


Key Reminders

  1. Data Used in the Pilot
    • During the pilot, use representative or test data from your SIS or source system whenever possible. If you need to use live data, make sure it's clearly marked and kept separate from the data in the current production system.
    • Updates made within the pilot system do not carry over to your SIS, source system, or NJ SMART. Any changes made during the pilot should not affect the production system to maintain data integrity
    • Please do not adjust live systems based on findings during the pilot.
  2. Submission File Layouts
    • File layouts are consistent with those used in NJ SMART to ensure continuity.
    • Pilot submissions will not include any new fields or submissions, with the exception of Staff Vacancy.
  3. Pilot Data is Temporary
    • Records created or modified during the pilot will not be retained after the pilot concludes.
    • Any SIDs, SMIDs, or other data created for testing purposes will be cleared before system launch.

    Error Messages During the Pilot

    Some validations and system behaviors may differ from the live environment:

    • Transfer requests (previously known as Conflict-Owning and Conflict-Claiming) may not function as expected if only one district is participating in the pilot.
    • Error messages may reference validations that are still in development or being adjusted based on feedback.
    • Sync and conflict validations have been temporarily suspended to allow for broader testing.

    Districts will receive email notifications related to error reports. If an error is unclear or appears related to pilot limitations, please contact the Help Desk for clarification.


    What to Expect After the Pilot

    • NJDOE will use feedback from all pilot phases to improve system performance, error handling, and user experience.
    • Updates will be made between pilot cohorts and prior to full system launch in Fall 2025.
    • A soft launch is planned for Summer 2025 to provide early access to NJSLEDS for remaining districts to test 2024-2025 school year data in NJSLEDS before the opening of the 2025-2026 school year.
