System Updates: Course Roster Error Report Fields and Staff Course Roster Out of Sync Fix

IT deployments for the following updates were completed by [completion time] on May 29, 2026. This release includes two changes: three new fields added to the Course Roster error report and export, and an update to Staff Course Roster Out of Sync matching for staff members who are assigned to more than six schools.
New Fields on the Course Roster Error Report and Export
The Student Course Roster and Staff Course Roster error report and export now include three additional fields: Local Course Title, Local Course Code and Local Section Code. Previously a flagged Course Roster record showed the subject area and course identifier but not your local course and section details, which made it harder to trace a record back to a specific course in your source system. With these fields in view, you can match a flagged record to the exact local course and section without extra lookups.
What to Do
No action is required and no re-upload is needed. The new fields will appear automatically the next time you open or export your Course Roster error report.
Staff Course Roster Out of Sync: Reporting Staff Assigned to More Than Six Schools
Staff Management allows up to six County, District and School assignments per staff member (County, District and School Code Assigned 1 through 6). When a staff member works in more than six schools within the same district, such as itinerant therapists, specialists or other shared staff, Staff Course Roster records for the schools beyond those six assignments were flagged Out of Sync because they could not be matched.
This release adds a new matching condition. You can now mark one of the six assignment slots as an overflow assignment by entering 000 in its School Code Assigned while keeping your County and District codes in that same slot. When all six assignment slots are populated and one School Code Assigned is 000, NJSLEDS will match Staff Course Roster records for that staff member to any valid school within the same County and District as the 000 assignment.
What to Do
- In your Staff Management submission, populate all six County, District and School assignment slots for the staff member. All six slots must be filled for this to work.
- For one of those slots, enter your County and District codes and set the School Code Assigned to 000.
- Submit or re-submit your Staff Course Roster records for the additional schools. They will match on County and District and will no longer be flagged Out of Sync.
Do not leave any of the six assignment slots blank. The overflow condition only applies when all six are populated and one School Code Assigned is 000.
Do not assign a second Staff Member Identifier to the same staff member as a workaround. This creates identity problems in the system.
This resolves the known issue previously listed on the Known Issues page under Staff Management.
Key Reminders
- The new error report fields require no action. They change what you see, not what is stored.
- The Out of Sync update requires action in Staff Management for any staff member assigned to more than six schools.
