Ten percent (10%) of a provider agency staff pool will be randomly tested per year. To effectively implement the required random sample of agency staff, each provider agency will organize all staff names within a folder utilizing the i3 Screen system. Each quarter, 2.5% of the 10% population requirement is selected. I3 Screen randomly selects the staff population to be tested on a quarterly basis and directly contacts the provider agency for coordination of the staff’s drug testing.
Each agency is on a quarterly schedule, for example, January, April, July, and October. The pool is selected on the first of the month of the assigned quarter. It is recommended that the agency schedule the required tests throughout the quarter.
Reports are emailed by the i3 screen system throughout the day on the first of the month during the month you are required to randomly test staff.
The staff pool list with your new and/or separated employees must be updated minimally by the last day of the month prior to the required random testing month, or it can be updated as you have changes to your employee roster.
No, only if you have changes to your employee roster.
Go to the Start Menu in the lower left-hand corner, then select Random Management.
Ideally the full SSN should be uploaded, however five characters is the minimum requirement for the system to match a result to a selection.
As the pool administrator, you determine what day/time to send an employee for testing based on their work schedule. Once they are notified, they should report to the testing site within 48 hours.
The employee must be rescheduled and sent for testing within 24-hours of the missed test. Refusals, including failure to complete the testing within 48 hours of the notification, shall result in termination. Please refer to your agency drug testing policies.
Yes, they should be added to the random pool list.
Yes, they should be sent for testing.
No, you must add them to your random pool list on i3 screen.
An unmatched result appears when an applicant is selected for random drug testing and their drug test results (Drug Case Number) are not showing in the random results list. Identify the reason why the result did not match, e.g. is the ID different or is the collection date outside the selection period. You can edit the result and correct the ID or use the Force Match feature to match the case to the selection.
Yes, the test should be ordered from the i3 screen system using the 4-panel test just as you would do with pre-employment testing.
Yes, employees have the same chance of being selected each quarter and therefore may be selected more than once throughout the year.
Only include employees on a leave of absence if you expect them to return to work during the testing period (quarter), or if they can be sent for testing while on leave. Otherwise, please indicate in the Reason Not Tested that the individual is on a leave of absence.
The Reason Not Tested option allows the provider agency to indicate why an employee selected for random testing did not take the test for that quarter. To use, find the employee in the table, click the button, and select a reason from the list provided. This information will be saved alongside the participant selection for that period. This cannot be un-done once added. Please note, in this case, an additional name will be selected next quarter in order to “make up” the correct amount of random tests.
